How to View and Manage Data Usage in Your DealRoom Account

DealRoom is designed to help you manage deals efficiently and securely. As part of your subscription, you have a set data allowance (measured in gigabytes), which varies depending on your plan. This article explains how data usage works, so you can manage it confidently and avoid any unexpected charges.

Understanding Data Allowance


Your data allowance refers to the storage capacity included in your DealRoom subscription, measured in gigabytes (GB). It covers everything you upload or store in your data room—including archived items and anything in your trash that hasn’t been permanently deleted. Uploading files, storing documents, and moving items to the trash all count toward your total usage. If you go over your limit, it’s considered an overage and may result in additional charges, as outlined in your contract.

Key Elements of DealRoom's Data Usage Policy


Knowing how your data allowance works helps you avoid unexpected charges and stay in control.
Data Allowance Allocation: The amount of storage you get depends on your subscription. It may be set monthly, quarterly, or annually. Plans start at 1GB per room (see our pricing), but custom plans with more storage are available.
Data Overage Charges: Understanding potential overage charges is important. If you go over your data limit, you'll be charged an additional fee on your next invoice—$1,500 per 1GB over for annual plans and $125 per 1GB over for monthly plans.
Example: Going 2GB over would result in a $3,000 charge for an annual plan and $250 for a monthly plan.
Notifications and Monitoring: You’ll get alerts in the DealRoom platform when you’re close to your limit, and another alert if you go over.

How to Check Usage:


Check Storage Usage for a Specific Room: Go to the desired Room, click Settings in the upper navigation, and under the General tab, select View Storage Usage.

Check Total Account Storage: Navigate to Org Settings, then go to the General tab in the top navigation. Scroll down to Storage Usage and click View Storage Usage to see a full breakdown.

Here are a few simple tips to keep your data usage in check:
Upgrade Your Data Allowance: If you regularly approach or exceed your data limit, upgrading to a higher allowance is the best long-term solution.
Monitor Storage Regularly: Make it a habit to check your data usage in DealRoom using the available tools.
Optimize File Management: Compress large files, export older documents, and get rid of duplicates to save space.
Plan Ahead: Before uploading big files, think about how they’ll impact your data allowance.
Leverage DealRoom Features: The "View Storage Usage" feature helps you track your data. To access it, go to your Dataroom, click Settings in the top navigation, select General from the left panel, and scroll down to click View Storage Usage.
