10 Tips and Tricks for Using DealRoom



DealRoom offers a range of features to streamline your deal management process. Here are some tips and tricks to help you get the most out of it:

Create a Template Room: Have a room in the pipeline named "Template" or "Playbooks." As you refine your deal process, update this template room to use for future deals. This reduces workload and minimizes rework. Simply copy the room for your future deals!
Note: Only an admin can create a deal card.



Assign Stakeholders as Followers: Include important stakeholders as followers on a request to ensure they get notifications about status changes, comments, and uploaded documents. This keeps them updated on all activities associated with that request.


Set Up Your Worklists in Different Ways: On the left side of the Requests overview you can create and edit worklists, as well as however many categories and subcategories under those. Organize and customize these in whichever way is most beneficial for your business needs! Here are some great worklist examples:
Due Diligence, Integration, Internal Assessments
Then you can organize subcategories like these:
By department* (Sales, HR, IT, Legal, etc)
By days* (30, 60, 90 days)
By days* (Day 1-30, Day 31-60, Day 61-90, Day 90+)

Note: Your ability to create worklists and requests depends on your permission settings. If you’re unable to create them, please contact an admin to adjust your permissions.


Track Everything in the Audit Log: Use the Audit Log to monitor crucial activities, including:
Document Uploads, Views, and Downloads
User Logins and Access Times
Request Status Changes (track when and how many requests are resolved)
Request Deletions, and more!



Automate Dashboard Reports: Schedule the weekly delivery of dashboard reports to important stakeholders. This keeps everyone on track and informed without having to set calendar reminders.

Note: Your subscription specifies whether you have BI Reporting, as well as the number of BI Editors and BI Viewers allowed at any given time. As long as you stay within these limits, you can make as many role changes as needed without affecting your subscription or incurring additional charges.



Streamline Document Management: Upload documents directly to requests and DealRoom will automatically store them in the correct folder in the data room, all in a single action. This simplifies organization and reduces the number of steps needed to get documents into the system.

Optimize Labels: Customize and use labels on requests to to enhance the productivity of your team. Consider organizing labels by department or timeline to enhance clarity and accessibility. Does a request overlap two different departments, such as IT and HR? Use labels to filter requests by department!



Effective Use of Assignees, Reviewers, and Followers: Assign people as assignees who are tasked with fulfilling this request and marking it as resolved. Assign people as reviewers to require a second set of eyes on the work being done on a request and who need to approve it before final completion. Assign people as followers such as heads of the department who want to be updated on request progress. Filter Urgent Requests: Use the filter ability to see all requests that are unassigned, unreviewed, or overdue. This is an easy to search and identify bottlenecks that are hindering the deal process.



Use Dynamic Dates - Tired of manually setting and adjusting start and due dates in a constantly changing M&A process? Use our dynamic dates feature to set dates that will adjust automatically based on a deal milestone (i.e. Signing/Close date). Be prepared for integration, even when the close date is unknown!

Note: Only users who have access to the pipeline can use the dynamic dates feature.
