How do I copy permission groups to a new room?

When you create a new room from a template in DealRoom, you can automatically copy groups and their users. This is the fastest way to set up your new room with existing permissions. If you skip this step, or if the template does not include the groups you need, you will start with a clean slate. From there, you can either add members manually or use Multi-Room Updates to pull groups and permissions from another room. In this article, we will cover both options: adding groups while copying a room and adding groups via Multi-Room Updates.


How to Copy Groups and Permissions During Room Creation


When creating a new room from the Pipeline or Deal Card, you can copy groups and their permissions from an existing room. To start:

  1. Open Room Creation - In the pipeline, click the New Deal button in the far right corner, or create a room directly within the Deal Card.A window will appear with the option to copy an existing room.
  2. Select the Room - Click into the Room field to expand the menu and choose the room you want to copy.
  3. Choose What to Copy - You’ll be prompted to copy Everything or Selected items.


If you select Everything, no further action is needed. If you select Selected items, review the options below:

  • Copy groups: Select the groups you want to include in your new room. These groups will maintain the same permission levels as in the original room.
  • Copy folders: Brings over the full folder structure.
  • Copy documents: Clones all documents within the folders.
  • Copy labels and Copy categories: Keeps your organizational tags consistent across rooms.


  1. Once you’ve made your selections, click Create deal & room to finalize the process.



How to Add Groups and Permissions After Cloning a Room


If you need to add users to a room that has already been created, the fastest method is with the Multi-Room Updates feature. This tool allows you to quickly copy groups and their members from a source room (like your template) into your new room.


To use this feature:

  1. From the left menu, go to Settings in your source room, then select the Multi-Room updates tab.
  2. Click the New multi-room update button.
  3. Choose the source room and the new room(s) you want to update from the dropdown menus.
  4. After the comparison loads, click Review and apply.
  5. A panel will appear. Check the boxes for the Groups and Users you want to copy.
  6. Click Apply selected updates to finalize the process.
