How do I customize my email notifications?

DealRoom provides various types of notifications to keep you informed about important activities and updates within the platform. In this article we'll walk through:



Email Notifications within Account Settings

Under your profile (located in the lower left-hand corner), Email Notifications control how you receive email updates across your room(s). Here's a quick breakdown of each setting:


  1. Send me email notifications | This setting controls if and how often you receive email updates. You can choose to be notified immediately, hourly, daily, weekly, or turn notifications off entirely. Based on your preference, the fields will change to accommodate. Watch the short recording below to see the various options in-action.


Note: When set to "Immediate," emails may be delayed by a few minutes. If you run into issues contact support@dealroom.net.


  1. Allow notifications from | This setting controls which rooms you’ll receive notifications from. You can choose to get notified on all rooms or just a select few, whatever fits your needs. If you’re assigned, a reviewer, or a follower in the selected rooms, you’ll receive updates when there’s activity relevant to you, including:
  • You're assigned to a request
  • A request you follow is updated
  • A comment is added
  • A document is uploaded
  • Alerts that a task is due (the day before, day of, and day after)


This is an example below shows of the type of notification you’ll receive when “Allow notifications from” is enabled.



  1. Notify me about | when this is checked off you'll receive notifications for:

  • New requests | Notifies you when you are assigned a request or added as a reviewer or follower.
  • Document uploads | Notifies you when a new document is uploaded to a folder you have access to.
  • Request due dates | Sends reminders for upcoming request deadlines.

Below is an example of the summary you may receive if "New requests" is checked off:



Other types of notifications

In addition to the notifications mentioned above, DealRoom offers the following types of notifications:


  1. Upload Notifications: Room admins will get the chance to notify groups when documents are uploaded into the Data Room.


  1. Location-based Login: You will receive a notification when you log in from a new location.



Immediate Notifications

Some notifications are sent out immediately, including:


  1. Making an Announcement: Admins can do this using the Create announcement button within the notifications tab on the left side of the main navigation. When you click Create announcement a window will pop up where you can decide which permission groups are notified and the custom message you want to relay.


  1. Using the Remind feature: Assignees and Reviewers can be reminded about task. To do this, open a request, hover over the right section of their name and select the bell icon button. Another option is selecting tasks in bulk and clicking the Remind option from the top bar. This will send out an immediate notification to the parties involved.



Tracking Activity in the Audit Log


If you need to track specific activities or access a detailed report of all activities in DealRoom, as an admin you can also utilize the Audit Log.


To access the Audit Log:

  1. Navigate to the Reports tab at the top.
  2. Select Audit Log from the left menu.
  3. Choose a date range to narrow down the results.
  4. Use the Activities dropdown to select the specific activity you want to track or generate a report on.
  5. Optionally, you can filter the results by selecting a specific user or group from the Users dropdown.
  6. To export the information to an Excel file, click on the Export to Excel option located in the top right corner of the page.



Troubleshooting Notifications: Why You Might Not Get Alerts


  1. Understand the Role of Permissions: Access is Key

DealRoom only sends notifications for documents in rooms or folders you can access. If you’re not getting alerts, double-check your permissions or ask your admin to confirm you have access to the right areas.


  1. Admin's Discretion: The Option to Notify Specific Groups

When an Admin uploads a document, they can choose who does and doesn’t get notified. If you were expecting a file but didn’t get an alert, your group may not have been selected during the upload.
