How Do I Understand DealRoom Terms and Symbols?

Getting familiar with a new tool can take time—especially when learning new terminology and symbols. This article serves as a glossary to help you understand the key components of the platform and the symbols you'll encounter and what they mean, so you can navigate more confidently and efficiently.

Glossary



User Types: Below are the definitions of the types of roles users can have within the platform:
Pipeline Admins own the DealRoom account and have full visibility and control over permissions and organizational settings. They can create Deal Cards, create and copy rooms, and manage reporting.
Pipeline Viewers can access specific deals as granted by Pipeline Admins. They are able to view deal data and create rooms.
Room Admins have full access within a room, including findings, room settings, and reports. They can add members and manage permissions for that room.
General Users with the appropriate access, they can view deal data, create deal cards and create rooms. They do not have access to the org Reports tab.
Pipeline: The DealRoom Pipeline is a centralized view that helps teams track and manage all active, prospective, and closed deals in one place. It provides visibility into each deal’s stage, key details, and progress, enabling better collaboration, organization, and decision-making throughout the M&A process.
My work: This section brings together all tasks assigned to you—pipeline tasks, findings (from your own and team submissions), and data room requests. With multiple deals in motion, it’s a simple way to stay on top of what needs your attention.
People: A centralized view of everyone with access to the platform and what they can see. Use the Rooms & Deals column to quickly check which spaces each person has access to.
Reports: Access to this tab depends on your subscription. If BI Reports are included, this is where you can view and build reports on your pipeline and deals.
Settings: Use this tab to manage all pipeline settings—from general labels and custom fields to two-factor authentication, access controls, multi-room updates, and deals moved to trash.
Notifications: Get a consolidated view of activity across your account. Organized by day, this tab shows updates from all users, including invitations, document uploads, and added or modified requests.
Rooms: This is where all your data rooms are housed. Below the title, you’ll see a list of rooms you’re a member of—just click a room name to access it.
Requests: Think of requests as your deal’s to-do list. Organized into worklists, this section helps your team manage tasks, track information requests, and handle due diligence and integration all in one central place. It is designed to streamline collaboration so nothing falls through the cracks and your deal stays on track. It's best practice to mirror the structure of your worklists with the structure of your data room for easier navigation and tracking.
Request Assignments: Below are the types of assignments that a user can have within a request:
Assignees: The individuals responsible for completing the request. They’re accountable for making sure the work gets done.
Reviewers: Typically a manager or team lead who reviews the work before it’s marked complete. They ensure the request meets the necessary standard.
Followers:Team members who need visibility into the progress or outcome of the request but aren’t directly responsible for doing or reviewing the work.
Worklists: Nested within the Requests tab, this section lets you organize your requests into buckets based on teams, milestones, or deal phases. For example, you might group worklists by preliminary due diligence, due diligence, day one readiness, integration, and internal checklists.
Findings: Findings are used to identify and track risks or issues that arise during due diligence and integration. They help teams assess impact, assign ownership, and take action to keep deals on track.
Untied Findings: Untied Findings in DealRoom are findings that are not linked to any specific request or worklist item. They serve as standalone risks or issues that still require attention but haven't been tied to a particular diligence task.
Data Room: Nested within your project room, the Data Room tab is a secure virtual data room to store all documents related to the deal. It's best practice to mirror the structure of your data room with the structure of your worklists in the Requests section for easier navigation and tracking.
Permissions: control who can access, view, and take action on specific documents, requests, or findings within a project room. They allow admins to manage user roles and ensure the right stakeholders have appropriate levels of visibility and control.
Reports: Not to be confused with the BI reporting tab in the left panel, the Reports tab nested within your project room helps you monitor activities like request overview, request progress, request activity, top active users, data room activity, and includes a full audit log for comprehensive tracking.
Requests Overview: A snapshot of all current requests in the deal.
Requests Progress: Tracks completion status of requests over time.
Requests Activity: Details actions and updates on individual requests.
Top Active Users: Shows the most engaged users in the project room.
Data Room Activity: Monitors document access and changes in the data room.
Audit Log: A full record of all user actions for compliance and review.
Settings: Room settings let you customize your room’s appearance, including the name, URL, logo, and colors. You can also view room storage, enable watermarks on documents based on permissions, manage the NDA agreement, import/export the room, and configure Slack integration.
Help: This is your one-stop shop for support, offering 24/7 live chat with our team, direct access to the Help Center with support articles, the latest product updates, training resources, and a place to leave feedback as you use the platform.
Trash: Located within your project room, the Trash bin stores any deleted requests, findings, or data room files. You can find it in the lower-left corner of your screen to review or restore items as needed

Symbols



Comment Bubbles | In the reply section of your request table view, you may see blue or gray comment bubbles. A blue comment bubble indicates the comment is unread, a gray comment bubble indicates it has been read and a yellow comment bubble indicates the comment requires approval to be made public.

Incomplete Review Alert Symbol | When a reviewer has not yet completed their review, a yellow alert symbol will appear. Once the review is complete, the yellow alert will change to a green checkmark.

Findings Alert Symbol | For logged findings, various colored alert symbols indicate their status or severity. With general custom fields, you can tailor these symbols to suit your organization's needs—customizing both the label and the color.

Subscription Over Usage Banner | This banner appears when you're approaching the storage limit of your current plan. To avoid overage fees, you can either reduce the data in your room (note: items in the trash still count toward your storage) or contact your Account Manager or Customer Success Manager to discuss increasing your storage capacity.

Subscription Expired Banner | This banner indicates that your subscription has expired. If you believe this is inaccurate or you want to activate a new subscription, reach out to our support team via the in-platform chat or at support@dealroom.net.
