Group Permissions

This is an explanation of all granular controls by permissions area (permissions tab). Each tab controls a specific area of the room. Here's what's available for each.

Overview

  • A read-only summary of all permissions configured for the group. Each section links directly to the corresponding tab so you can jump to what you want to change.

Users

  • Add, remove, and manage the members who belong to this group. Pending invitations are counted separately from active members.

Data Room

  • Set per-folder and per-document access for the group. Each folder or file can be set to one of four levels — they are cumulative (each level includes the one before it):

    • View: Open and read files in the browser

    • Download (watermarked): Download a watermarked copy

    • Download (original): Download the original file without a watermark

    • Edit: Upload, rename, and reorganize files and folders

  • Additional data room settings (shown when a group is selected):

    • Upload dates — Choose whether the group sees the original upload date or the date they first accessed the file.

    • New folders — Control what access the group gets when new folders are added to the room:

    • Inherit access — automatically match the access of the parent folder

    • Sub-option: Only inherit if no permission conflicts exist

    • No access — the group gets no access to new folders by default

Requests

  • Controls what the group can do with requests (tasks) and worklists. Settings are divided into three sections:

  • Granular Permissions:

    • Manage request details: On / Off (master toggle — required for most edit permissions below)

    • Create requests: On / Off

    • Delete requests: On / Off

    • Start & due dates: Off / View / Edit

    • Custom fields: Off / View / Edit

    • Status: Off / View / Edit

    • Assignees: Off / View / Edit

    • Followers: Off / View / Edit

    • Priority: Off / View / Edit

    • Labels: Off / View / Edit

    • Dependencies: Off / View / Edit

    • Note: Edit access for most fields requires "Manage request details" to be enabled first.

  • New worklist access — What access the group gets when new worklists are created:

    • Inherit access (with optional conflict sub-option)

    • No access

  • Public comments (if enabled for the room) — Require admin approval before this group's comments are visible to others.

Findings

  • Toggle whether the group can manage findings. When enabled, members can create findings, view all findings, and see findings linked to documents they have access to.

Synergies (if enabled for the room)

  • Synergies access: Off / View / Edit

  • Tracking fields: Off / View / Edit

  • Note: Tracking fields access requires “synergies access” to be on first. Edit access for tracking fields also requires synergies to be set to Edit.

AI Analysis (if enabled for the room)

  • Toggle whether the group can use AI-powered document analysis features in the room.

Visibility

  • Controls what this group can see about other users and groups.

  • User visibility — How members of other groups appear to this group:

    • Hidden — Other users are not visible

    • View — Other users are visible

    • Invite — Other users are visible and this group can invite them

  • Visible groups — Choose which other groups this group can see in the room.

Admin Access

  • Grant or remove full admin access for the group. Admins have unrestricted access to all worklists, folders, findings, synergies, and can invite users. This setting is not available on the built-in Administrators group (it always has full access).

  • Note: Unsaved changes are tracked across tabs. If you switch tabs with pending changes, you'll be prompted to save or discard them before navigating away.
