How to Copy or Duplicate a Room in DealRoom



Duplicating a room in DealRoom can streamline your workflow, especially when managing multiple deals with similar structures. There are two primary ways to copy or duplicate a room:

Copying a Room from the Pipeline
Importing a Copy of a Room into a Blank Room

What’s the Difference Between These Two Methods?



1. Copying a Room from the Pipeline


When to Use: This method is ideal when you're creating a brand new room and want to carry over the same groups of people, documents, and attachments from an existing room. It’s perfect for maintaining continuity across deals that require similar setups.
Key Benefits: It’s the most comprehensive option, allowing you to transfer a wide range of details, including:
- Groups
- Folders
- Documents
- Requests
- Request details (such as statuses, assignees, reviewers, attachments, etc.)
Limitations: You can only use this option when setting up a new room; it won’t work if the room already exists.

2. Importing a Copy of a Room into a Blank Room


When to Use: This option is great if you’ve already created the room and want to import a copy. It’s also useful if you want to edit the room’s structure by customizing the Excel template before importing it into the new room.
Key Benefits: This method is more straightforward, focusing on starting fresh by transferring:
- Folder structure
- Request lists
- Certain request details (e.g., priority, status, start and due dates, etc.)
Limitations: This method will not copy over attachments, files, or more granular details.

Important Note: Neither of these options will copy over request comments made by users. Ensure any critical comments are saved elsewhere (such as in the request description) before duplicating the room.


Copying a Room from the Pipeline



This method allows you to create a new room by copying the structure, permissions, and documents from an existing room directly from the Pipeline.

Here are the steps:
Navigate to the Pipeline tab in the left menu.
Click the New deal button in the top right corner.



Give the deal a Name and edit deal details.
Once finished, select the Room tab at the top, to the right of Deal details.



Toggle on the Setup a room for this deal option.
Click Copy room.



From the dropdown menu, choose the room you'd like to copy.
Choose between copying Everything or only Selected Items.



Once finished, click Create deal and room.

The deal card with the title given will now exist in the pipeline. You can search it and then open the copied room to access it.


Importing a Copy of a Room into a Blank Room



This method allows you to export a room's structure and requests as an Excel template, edit it if necessary, and then import it into an already-created blank room.

Follow these steps:
From the room you'd like to copy, navigate to the Settings tab at the top right.



Select Room template from the left menu.
Click Export room. This will create an excel template of the room.



Note: Exporting a request list directly from the Requests tab will not generate the correct format for importing. For guidance on how to properly copy request lists into a newly created room, please refer to this article: How do I copy requests into another room?

Open the excel download and edit the fields or information you'd like to keep or add. Save.
Open the new room where you'd like to import the copy.
Go to the Settings tab at the top right and then select Room template from the left menu.
To import, click the Choose File button.



Select the excel file template of the other room.
Click Import template.



The folder structure and request lists that you've chosen will now be in the Requests and Data Room tabs.


Important Notes:
Copying from the Pipeline is ideal if you want to replicate groups, documents, and attachments into a new room.
Importing a Room Template is useful if you prefer to edit the room's structure in Excel before importing it into the new room.
