How to Manage Admin Privileges

Being an admin of your room is a critical role that involves managing requests and controlling access to sensitive deal information in the Data Room. In this article, we’ll walk through best practices for managing admin responsibilities to maintain both security and workflow efficiency.


Understanding DealRoom Admin Privileges

DealRoom offers two tiers of admin permissions. See the overview below:


  1. Pipeline-Level Administration

This is the highest level of access, providing control over the entire platform and all associated deals. Pipeline Admins can:

  • Oversee All Deals: View and manage every deal in the pipeline, including deal stages.

  • Manage Custom Fields: Create and edit custom fields across deals, rooms, users, and reports for consistent data tracking.

  • Set Security Policies: Enforce company-wide security settings, such as mandatory two-factor authentication (2FA).

  • Handle Deleted Rooms: Restore or permanently delete rooms from the pipeline trash.

  • Edit BI Reports: Control BI Editors and Viewers.

  • Set Dynamic Dates: Configure dynamic date settings for the pipeline.


  1. Room-Level Administration

Room Admins have full control over a specific data room and its activity. They can:

  • Manage Content: Upload, edit, download, and organize all files and folders within the room.

  • Control User Access: Invite users, create permission groups, and set granular permissions (e.g., view-only, download, print, watermark) at the folder or file level.

  • Handle Requests & Findings: Create and manage request lists, assign responsibilities, and approve comments.

  • Configure Room Settings: Customize the room’s name, appearance, and settings. Room Admins are the only ones who can close, delete, reopen, or restore a room.

  • Monitor Activity: Access detailed audit logs and reports to track user engagement, including document views and downloads.



How to Grant Admin Privileges

Granting admin access in DealRoom is straightforward:

  1. Invite to Administrator Group: When inviting a new user, simply select Administrator from the Permission Group dropdown.
  2. Change Existing User's Group: For an existing user, navigate to the Permissions tab, locate the user, and change their assigned group to "Administrator."
  3. Grant Pipeline Access: For platform-wide control, access Settings > Pipeline Access and grant the user this higher-tier administrative right.
