I received an over usage message

Understanding Over Usage Messages in DealRoom



In DealRoom, you may encounter various warning messages designed to keep you informed about critical account limits. Two of these messages include:

Data Overage Warning
BI Viewer or BI Editor Overage Warning

Data Overage Warning



Your subscription or plan allocates a specific amount of data storage measured in gigabytes (GB). This allocation should be detailed in your contract. If you're uncertain about your data allocation, please consult with an administrator. If you exceed your allocated data amount, you have two options to address this issue:

Here is an example of a data over usage warning:



Option 1: Deleting Data (Only accessible by Administrators)



Navigate to the Data Room tab located at the top.
Click the Trash button at the bottom left.



You will be directed to a page displaying deleted documents and folders. These items will continue to count toward your data limit until permanently removed. Select the files and folders you want to delete permanently by checking the boxes.
Click the red Remove permanently button at the top.



Option 2: Updating Your Subscription with More Data



Contact your Customer Success Manager (CSM) or email support@dealroom.net to inquire about adding more data to your subscription.

Tip: You can find pricing details for additional data in your contract or inquire directly with your CSM or support.

BI Editor or BI Viewer Overage Warning



If your subscription includes the Pipeline product, you gain access to the powerful BI reporting feature, offering insightful charts on various data points in DealRoom. Each subscription includes a specific number of BI Viewers and BI Editors who can utilize this feature. For instance, a subscription might include 8 BI Viewers and 4 BI Editors. Should you exceed this limit, you'll receive a warning message. You have two ways to resolve this:

Option 1: Adjust BI Editors or BI Viewers



Note: Only users with admin access to the pipeline can manage BI Editors and BI Viewers.
Tip: DealRoom employees with BI access for support purposes do not count toward the total.

Navigate to the Settings tab from the left menu.
Select the Pipeline Access tab from the top.
In this section, you'll see a list of members with access to the pipeline, including their roles as BI Viewers, BI Editors, or disabled. Disabled members do not count toward your total.



Click on a member's name that you'd like to change.
A pop-up window will appear, allowing you to change their status by selecting from the options: Disabled, Viewer, or Editor.

Tip: Only those with Administrator access can become a BI Viewer or BI Editor.

Option 2: Modify Your Subscription



Contact your Customer Success Manager (CSM) or email support@dealroom.net to explore options for adding more BI Editors and BI Viewers to your subscription.
